Job Title: Administrative Assistant / Executive Assistant

Job Description: An Administrative Assistant, often referred to as an Executive Assistant, plays a crucial role in providing comprehensive support to executives, managers, or professionals within an organization. This role involves a wide range of administrative, clerical, and organizational tasks to ensure the efficient operation of the office or department.

Key Responsibilities:

  1. Calendar Management: Maintain and manage the schedule of the executive, including scheduling meetings, appointments, and travel arrangements.

  2. Communication: Handle incoming and outgoing communications, including emails, phone calls, and written correspondence. Screen and direct inquiries as necessary.

  3. Office Management: Oversee office supplies, equipment, and facilities to ensure a productive work environment.

  4. Data Entry and Record-keeping: Maintain and organize important documents, records, and files. Data entry, document preparation, and record-keeping may be required.

  5. Meeting Support: Assist in preparing meeting materials, agendas, and minutes. Coordinate meeting logistics and follow-up on action items.

  6. Travel Arrangements: Make travel arrangements, such as booking flights, accommodations, and transportation for business trips.

  7. Client and Customer Relations: Interact with clients, customers, or stakeholders as necessary. Provide excellent customer service and maintain professional relationships.

  8. Project Support: Assist in project management tasks, which may include research, data analysis, and documentation.

  9. Expense Management: Monitor and manage expense reports, receipts, and reimbursements.

  10. Administrative Tasks: Perform general administrative duties, such as photocopying, faxing, filing, and answering phones.

  11. Confidentiality: Maintain a high level of discretion and handle sensitive information with care and confidentiality.
